Secretarial
- Attend to all correspondence from lot owners, contractors, and council representatives in a timely manner
- Maintain the strata roll and minute book
- Have custody of and administer common deal duties
- Maintain, have custody of and securely keep all records which are required by law to be kept by the strata company
- Preparation and distribution of meeting agendas, minutes and budgets
- Chair the annual general meeting (if required)
- Assisting with queries from lot owners regarding by-laws
- Visit strata complex when required
Accounting services
- Managing trust accounts and financial affairs
- Requesting and receipting levy payments
- Pay contractors invoices
- Provide financial reports as requested
- Prepare annual statements for AGM
- Prepare annual draft budget for AGM
Insurance
- Renewing insurance policies and/or obtaining new quotes
- Lodging insurance claims
- Obtain quotes for insurance repairs and arrange access
- Arrange insurance valuation if required
Maintenance
- Obtain quotes for the repair or upgrade of the common property
- Administer tradespeople for the common property
- After hours emergency telephone service
Additional Optional Services
- Collection of unpaid debts from proprietors
- Preparation and attendance of extraordinary general meetings or council meetings and taking minutes
- Preparing section 43(c) certificates
- Issuing invoices for utility company sub-meter accounts
- Assisting with major works projects
- Assisting with the drafting and registering of additional by-laws
- Dealing with any state administrative tribunal matters and attending hearings and meetings conducted by government and judicial authorities
- Instructing and attending conferences with lawyers including legal actions on instruction from the council
